A project in Medallion is equal to a homebuilder subdivision or a multi-family building group. Project data includes job types like single-family, semi-custom,
custom, duplex, and apartment building.
A project also identifies the type of building plans the builder is offering including information like the building square footage, the number of stories, and the number of bedrooms and bathrooms. Each project plan can have one or more estimates (takeoffs) with individual lists of items (material specifications) and required item quantity. A project can also have subprojects — subprojects are used to track subdivision phases or releases.
Projects can also have attached documents like project blueprints, drawings, schematics, specifications lists, proposals, and contracts.
In Medallion, an estimate (takeoff) can be created for each builder plan offered by a homebuilder in a given subdivision (project). An estimate is where the labor, material, subcontract, and other costs budgets are created. Each estimate’s costs are based on the builder specifications for that particular the builder plan. The total budgeted job cost is calculated, an user entered overhead and profit percentage is added, and the suggested customer proposal (bid) price is calculated.
Your project estimator set the final bid price per plan and print the builder’s project proposal directly from Medallion.
If you have customer billings based on job task completions (ex: underground, rough, trim), you can set up the percent of total price per phase and the task invoice amounts (including wrap insurance credits) are be calculated automatically.
If you pay employees or subcontractors based on the job task completion, you can set up piecework pay amounts to automatically release payments to them when a job task is complete and verified.
A job in Medallion is usually an individual building, typically a single-family home on a single lot. When a job start is created, you can automatically create the job start with our homebuilder API.
When a new job is created, it can be linked to a plan estimated. All of the job specifications (labor, material, price, piecework, schedule) are copied from the estimate matching the subdivision and plan. The only additional information that needs to be entered by the job start coordinator is the estimated job start date and the selected builder options if any. From that point forward, all the job construction management including material purchasing or warehouse staging, labor and material scheduling, job task completion with quality control inspections and task complete verification, and automated customer billing are handled.
Job material purchase orders are generated for each scheduled job task or warehouse pack lists are created and packed.
Employee hours are tracked by job task, compared to budgeted labor, and exceptions or overages are identified immediately.
Builder options are something unique to residential construction. Medallion allows you to identify the options offered by builders per subdivision and plan, and allows you to set the builder option price for that plan. More importantly, Medallion allows an estimator to specify the change in labor or material quantities for each option so that when the option is selected for a specific job (lot) that job’s labor and material quantities are automatically adjusted for the option.
Finally, a billing record is created immediately when the job option is selected so no option invoice is ever missed.
Field employees and subcontractors will see the options selected for each job as they are working on that job.
Job scheduling by job task is built into Medallion. The production calendar allows managers and field supervisors to see all upcoming job tasks and assign foreman and crews to perform those tasks. The production calendar is also used for
material staging whether it be by pulling the required task material from warehouse inventory or by automatically generating purchase orders, or both.
Field employees and subcontractors can see their assigned tasks for the current day and for any future days already scheduled. They can track their time spent on each assigned task and update the task status.
When a task is complete, quality inspection will be notified and upon task complete verification any job task contract invoices or option invoices are automatically created.
Job tasks that are past due are easily identified so extra effort can be
made to complete those late tasks as soon as possible.
Purchase orders can be generated for individual jobs and job tasks or for a group of jobs like all jobs with estimated task starts next week. Purchase order vendors are selected by choosing one of the following vendor selection methods: lowest cost vendor, preferred vendor, or selected vendor. Medallion stores item pricing per vendor with multiple vendor price levels allowed.
Warehouse stock purchase orders can be generated based on the current warehouse quantity minus minimum item stock levels minus estimated job item requirements for a selected date range. The recommended purchase order vendors and purchase quantities can be adjusted before creating the final purchase orders.
Medallion has comprehensive warehouse management functionality including multiple warehouse capability and a barcode enabled mobile application that handles job task pick & pack, extra material issuing, service material issuing and returns, warehouse stock transfers, and cycle counts.
Stock warehouses like installation or service trucks can be created with identified stock items and stock quantities. There are desktop screens that allow quick stock warehouse counts and restocks.
Job task pick lists are generated from the job task item list for upcoming tasks, the task pick is pulled using the mobile warehouse application, and once pulled the pack staging location is entered to simplify delivering the job pack to the field installation team.
